Pearl Cast Solutions is committed to protecting the privacy and confidentiality of your personal and health information. We understand that your health information is sensitive, particularly in mental health treatment, and we are dedicated to safeguarding it in compliance with the Health Insurance Portability and Accountability Act (HIPAA) and applicable federal and New York State laws.
What Is Protected Health Information (PHI)?
Protected Health Information (PHI) includes any information that identifies you and relates to your past, present, or future physical or mental health condition, the healthcare services you receive, or payment for those services.
How We May Use and Disclose Your Information
We may use and disclose your PHI for treatment, payment, healthcare operations, as required by law, for public health and safety purposes, appointment reminders, care coordination, or with your written authorization.
Special Protections for Mental Health Information
Mental health records and psychotherapy notes receive heightened protections under HIPAA and New York State law. Psychotherapy notes are maintained separately and are not disclosed without your explicit authorization, except as permitted by law.
Your Rights Regarding Your Health Information
You have the right to access your records, request amendments, request restrictions, receive confidential communications, obtain an accounting of disclosures, receive a copy of this Notice, and file a complaint without retaliation.

Pearl Cast Solutions is legally required to maintain the privacy and security of your PHI, provide this notice, follow its terms, and notify you in the event of a breach.

Controlled Substances Policy
Pearl Cast Solutions is committed to safe, ethical, and evidence-based prescribing practices. The following policy outlines expectations regarding controlled substances.
General Prescribing Principles
Controlled substances are prescribed only when clinically appropriate and in accordance with federal and state regulations. Prescribing decisions are based on medical necessity, clinical evaluation, and ongoing monitoring.
Assessment and Monitoring
Patients prescribed controlled substances may be required to participate in periodic reassessments, urine drug screenings, prescription monitoring program (PMP) checks, and coordination with other providers.
No Early Refills or Replacements
Early refills, replacements for lost or stolen medications, or dose escalations without clinical justification are not provided.
Single Prescriber Policy
Controlled substances must be prescribed by a single provider unless otherwise coordinated and documented.
Medication Compliance
Failure to adhere to treatment recommendations, evidence of misuse, diversion, or inconsistent monitoring results may result in discontinuation of the controlled substance.
Right to Modify Treatment
Pearl Cast Solutions reserves the right to adjust, taper, or discontinue controlled substances at any time based on clinical judgment and patient safety.
Practice Boundaries
Pearl Cast Solutions is committed to providing ethical, professional, and patient-centered psychiatric care. The following practice boundaries are established to promote safety, clarity, and therapeutic integrity.
Professional Scope of Care
Services provided are limited to psychiatric evaluation, medication management, and clinically appropriate supportive interventions. PearlCast Solutions does not provide emergency services, intensive psychotherapy, or crisis intervention.
Appointments and Communication
Appointments are conducted by scheduled sessions only. Communication outside of scheduled visits is limited to clinical and administrative matters and must occur through approved channels. Response times may vary and are not immediate.
Emergency and Crisis Situations
Pearl Cast Solutions is not an emergency service. In the event of a psychiatric or medical emergency, clients should contact 911, go to the nearest emergency department, or call a local crisis hotline.
Boundaries and Dual Relationships
To maintain professional integrity, dual relationships outside of the therapeutic setting are not permitted. This includes social relationships, financial relationships, or personal engagements with clients.
Respectful Conduct
Mutual respect is expected at all times. Verbal abuse, threats, harassment, or inappropriate behavior may result in termination of services.
Continuity and Collaboration
Care may involve collaboration with other healthcare providers when clinically indicated and with appropriate consent.
